Advanced Scheduling Module
Using the Advanced Scheduling Module is pretty easy: just set up a grid with available dates, times and locations, then drag and drop submissions onto that grid. The system will automatically check for scheduling conflicts as you work. If it finds any, you'll be asked how you want to handle them.
Note: Your work is saved automatically. When you're done, just navigate to another page or close your browser.
Setting Up the Scheduling Grid
The first thing you'll want to do is build your scheduling grid by adding dates, times and locations to it. (Don't worry if you don't yet know all of your dates, times and locations. You can make changes to the scheduling grid at any time.)
Add a Time Slot:
- Click the green button next to "Times" in the Scheduled Session panel on the right-hand side of the page. A new window will pop up.
- Set the Start Date/Time and End Date/Time.
- Click the Save button. This will save your settings, close the window, and add the date and time to your scheduling grid.
Add a Location Slot:
- Click the green button next to "Locations" in the Scheduled Session panel on the right-hand side of the page. A new window will pop up.
- Set the Description for the location (e.g. "Conference Room A").
- Click the Save button. This will save your settings, close the window, and add the location to your scheduling grid.
Change a Time Slot:
- In the Times column of the scheduling grid, mouse over the date and time item you want to change. A tab will appear directly above the item.
- Click the Edit link in the tab. A new window will pop up.
- Make your changes to the Start Date/Time and/or End Date/Time.
- Click the Save button. This will update the grid and apply your changes to any submissions assigned to the affected time slot.
Change a Location Slot:
- In the Locations column of the scheduling grid, mouse over the location item you want to change. A tab will appear directly above the item.
- Click the Edit link in the tab. A new window will pop up.
- Make your changes to the Description.
- Click the Save button. This will update the grid and apply your changes to any submissions assigned to the affected location slot.
Remove a Time Slot:
- In the Times column of the scheduling grid, mouse over the date and time item you want to remove. A tab will appear directly above the item.
- Click the Delete link in the tab.
- Confirm that you want to delete the item by clicking OK. This will remove the item from the grid and move any submissions assigned to it back to the Unscheduled Sessions panel.
Remove a Location Slot:
- In the Locations column of the scheduling grid, mouse over the location item you want to remove. A tab will appear directly above the item.
- Click the Delete link in the tab.
- Confirm that you want to delete the item by clicking OK. This will remove the item from the grid and move any submissions assigned to it back to the Unscheduled Sessions panel.
Building Your Program
Once your scheduling grid has dates, times and locations available, you can start to build your program by dragging and dropping submissions from the Unscheduled Sessions panel (on the left-hand side of the page) over to the grid. You can also move sessions around the grid or remove them altogether.
Add a Submission to the Schedule
To schedule a submission, simply drag it from the Unscheduled Sessions panel (on the left-hand side of the page) over to the appropriate slot in the scheduling grid.
Move a Scheduled Session
- Mouse over the session to reveal the Move icon ().
- Use the Move icon to drag the session into its new slot.
Remove a Session from the Schedule
- Mouse over the session to reveal the options tab above it.
- Click the Remove link. This will move the session back to the Unscheduled Sessions panel.
Other Features
- If you need more room for the Unscheduled Sessions or Scheduled Sessions panel, move the vertical bar in the middle of the page to the left or right.
- For details about the submissions listed in the Unscheduled Sessions panel, click the Display Options link and check the items you want to appear. Click the link again to hide the options.
